The  Timesheet set up in Cintra iQ controls the  Timesheet Claims within  Self-Service for those employees who are in a single post or who have multiple posts. For more information about Timesheets, see What are Timesheet Groups and Headings?

You can perform the following:
  • Define Timesheet Groups. A Timesheet Group defines the periodicity and date frame for claims as well as validation rules.
  • Define Timesheet Heading Sets. A Timesheet Heading Set defines what payment heading can be claimed against.
  • Link Timesheet Groups and Timesheet Heading Sets to Posts.

How do I create a timesheet group?

  1. Navigate to the Timesheet Groups definition window.
    Go to Cintra iQ: Menu bar> Payroll> Payroll Setup > Timesheets> Groups
  2. Click the New button. The Timesheet Group (period) form appears.
  3. Enter the Timesheet Group Name
  4. Select the Timesheet Periodicity.
  5. Enter the Timesheet First Period From Date date. The Timesheet First Period To Date automatically appears.

      Important:

    The date must be within 100 days of the current date.

  6. Click the Next button. The Timesheet Group Form appears.
  7. Select and/or enter the Timesheet Group's constraints.
  8. Click the OK button. The definition appears in the Timesheet Group window.

To create a timesheet heading set

  1. Navigate to the Timesheet Heading Set window. 
    Go to Cintra iQ: Menu bar> Payroll> Payroll Setup > Timesheets> Heading Sets
  2. Click the New button. The New Timesheet Heading Set pop up appears.
  3. Identify the Heading Set
    1. Enter the Timesheet Heading Set Name.
    2. Enter the Timesheet Heading Set Description.
    3. Click the Next button. The Timesheet Headings Sets [Heading Title] window appears.
    4. Create the headings for the Heading Set
    5. Right-click: Insert Here in the Headings pane.  The Timesheet Heading window appears.
    6. Enter the Heading Name.
    7. Select the Heading TypeAddition Heading or Attendance Category
    8. Select from either the Addition Heading drop-down list or Attendance Category drop-down list.
    9. Identify if Narrative is Mandatory for Employee and/or Manager.
    10. Right-click: New in the Cost Code Structure Parts to be made available pane. The Maintain Cost Structure Part Rule pop up appears.
    11. Select the Cost Part from the drop-down list.
    12. Select whether the Cost Part is VisibleMandatory and/or Insertable for either an Employee or Manager.
    13. Click the OK button. The selection appears in the Cost Code Structure Parts to be made available pane. 
    14. Click the OK button. The heading appears in the Timesheet Heading Sets window.
  4. Continue to create the headings, by repeating the process for the specified Heading Set.
  5. Once finished, click the OK button in the Timesheet Headings Set window. The Heading Set appears in the Timesheet Heading Sets definition window.

To assign cost code rules to an addition heading

  1. Navigate to the Timesheet Heading window.
    Go to Cintra iQ: Menu bar> Payroll> Payroll Setup > Timesheets> Heading Sets>Timesheet Heading Set definition> Open> Timesheets Heading Sets window> Right-click: Insert Here
  2. Enter the Heading Name.
  3. Identify the Heading Type.
  4. Select from either the Addition Heading drop-down list or Attendance Category drop-down list.
  5. Identify if Narrative is Mandatory for Employee and/or Manager.
  6. Right-click: New in the Cost Code Structure Parts to be made available pane. The Maintain Cost Structure Part Rule pop up appears.
  7. Select the Cost Part.
  8. Select whether the Cost Part is VisibleMandatory and/or Insertable for either an Employee or Manager.
  9. Click the OK button. The selection appears in the Timesheet Heading window and is assigned to the specified heading.

To assign a timesheet group definition and a timesheet heading set to a post

 Important

These Timesheet Group and Timesheet Heading Set fields must be customised by the Cintra Implementation team.

 
Because each employee has a post, you can link a Timesheet Group and Timesheet Heading Set to that post so that when the employee fills out a Timesheet claim in Self-Service , the Group definition and Heading information will always appear for them to fill out and/or select. 
 

 Important

If the employee has more than post, you can assign a different definition to each post.

 
Once you have created the Timesheet Group Definition(s) and Timesheet Heading Set, perform the following:
  1. Navigate to employee's Post Summary form.
    Go to Cintra iQ: Employer Settings> Posts> record in Navigator> Post Summary Form
  2. In the Post Management section:
    • Select the definition from the Timesheet Group drop-down list.
    • Select the set from Timesheet Heading Set drop-down list.
  3. Click the Apply button and then the OK button. The definition and set are assigned to the post.
