How do I inform employees of their auto enrolment or status?

Cintra iQ has an Auto Enrolment (AE) facility, which takes you through the process of amending a pension scheme set up, defining which payment headings are pensionable and which headings are classed as Qualifying Earnings, running an assessment, and enrolling employees into the relevant Auto Enrolment scheme. Cintra iQ can also manage Opt ins and Opt outs.

From Staging Date onwards, for every pay period you will need to assess your employees to identify any employees who need to be auto enrolled. Once you have entered all period input and performed a full payroll calculation, you can create assessments to identify the categories of employees.

  Note:

You will need to assess your employees at least once during the pay period but you can re-run the assessment as often as required.

You can see which employees need notification of their auto enrolment or change in status by via Auto Enrolment.

To identify employees

  1. Navigate to the Pension - Auto Enrolment window.
Go to Cintra iQ: Payroll> Payroll Tools> Pensions> Auto Enrolment
  2. Select the desired Payroll
  3. Select the desired Period.
  4. Click the Assess button. The Communications/Status Changes tab contains the following information:
    1. All employee types who have had a change in status or who require a communication, will be displayed even those Eligible job holders you have just enrolled, as they will require a communication informing them of their enrolment or status.
    2. Once the Assessment has been performed, the employees’ status is displayed together with the reason for Assessment and Assessment Date.
    3. Against each employee is the Communication Type Required
    4. When you highlight the employee record and right-click: Open, you can view the read-only details of their AE Status Changes.
    5. When you reach your Staging Date, and assess for the first time, then this tab displays all employees. Those employees who are outside of the relevant age range are still examined and reported here for the first time, as status: not in AE Age Range and the Communication Type Required remains blank.
    6. In subsequent periods, only those employees who have changed status and who need to be communicated with, will appear in this tab. This will be for example, new starters and employees who have become eligible on their 22nd birthday.
    7. If you have set any postponements, the Postponement date are shown and the relevant Communication Type Required changes to the relevant Postponement notices.

  Information:

Once you have identified the employees and their communication required, you can notify them of their auto enrolment or change in status.
