Field Security Definition is made up of one or more Field Access Definitions that are assigned to an Access Level.  Once the Field Security Definition is created, you can then apply it to one or more Security Profiles, which can be assigned to a user.
 

  Important:

You must have System Administration permission in order to access this functionality.

 

To create a field access definition

It is best practice to create a Field Access Definition as a template that restricts access to the file records. This template then can act as base in which to add more restricted fields. This way, you ensure that no one can change the access level security within a given record, without permission.
 
  1. Navigate to the Field Access Definition window. 
    Go to Cintra iQ: System Administration> Manage Security> Field Security> Field Access Definition
  2. Click the New button. The Create Field Access Definition window appears.
  3. Enter a Title.
  4. Select the desired Field, attributing it as either Read-Only or No Access.
  5. Continue to select and attribute where necessary.
  6. Click the OK button. The template Field Access Definition is created.

To build a field access definition

You can create a copy of the template and add or remove the desired fields. 
  1. Navigate to the Field Access Definitions window.
  2. Highlight the Template definition.
  3. Click the Copy button. The Copy Definition pop up appears.

  4. Enter the title of the new definition.
  5. Click the OK button.
  6. Continue to edit the definition and save.

 

To edit a field access definition

  1. Navigate to the Field Access Definition window.
  2. Highlight the desired definition.
  3. Click the Edit button. The definition opens.
  4. Add or remove the desired Restricted fields. 
  5. Click the OK button. The template Field Access Definition is updated.

 

To assign an access level security setting to a field security definition

  1. Navigate to the Field Security Definitions window.
  2. Click the New button. The Create Field Security Definition window appears.
  3. Enter a Title.
  4. Select the desired Access Level.
  5. Assign the Desired Field Definition to the Access Level.
  6. Click the OK button. The definition is created with the associated level.
  7. Continue to create a security profile.

 

To secure the access level setting within a record

You can set up a Field Access definition that contains all of the types of record access levels, such as Asset File Access Level, Company Vehicle Field Access Level etc. within the system and restrict them as read-only. You can then assign the definition to an Access Level in a Field Security Definition. This secures the Access Level setting within a record so that when the definition is applied to a user, they view only data specific to them.
 
 

  Important:

For more security, make a copy of the template, rename it and then build the definition up by restricting the desired fields.
